Administration and Communications Coordinator (PART TIME, 21 hours/week)

The Mount Royal Youth Orchestra (MRYO) is an orchestra composed of young musicians aged 5 to 25 divided into four ensembles: the Symphony Orchestra, which includes about 70 musicians, an intermediate string ensemble of about 50 musicians, a junior string ensemble of about 30 musicians and a small wind ensemble.

The orchestra promotes values of artistic excellence, collaboration, interculturality and inclusiveness, respect, and integrity.

By joining the orchestra team, you will work with a passionate Artistic Director who is dedicated, with creativity and integrity, to the sustainability of the organization, supported by a dynamic volunteer Board of Directors.

Job profile

Reporting to and working in collaboration with the Artistic Director, the Administration and Communications Coordinator will ensure the smooth running of the orchestra’s administration, fundraising and communications activities.

Administrative tasks

  • Plan, develop and monitor annual budgets
  • Prepare documents for financial statements and follow up with the auditor
  • Ensure the payment of salaries, DAS, GST/QST rebates
  • Draft and follow up on employee and supplier contracts
  • Ensure compliance with contractual agreements and legal obligations
  • Prepare budgets for grant applications and produce the required reports for the various funders
  • Manage computer applications
  • Liaise with various suppliers
  • Performs filing and archiving of files, and document and database management

Communication tasks

  • Coordinate the production of communication tools (print and web program, newsletter and website)
  • Produce content, manage and update social networks, and compile statistics (Facebook, Youtube, etc.)

Production tasks

  • Manage marketing and public relations events
  • Manage ticketing

Qualifications and skills

  • University education in a relevant field or equivalent professional experience
  • Interest in orchestral music and experience in managing cultural organizations
  • Good writing skills
  • Knowledge of social media and trends in this field
  • Fluency in French and English, both written and spoken
  • Knowledge of Quickbooks and Google Drive
  • Methodical and rigorous
  • Autonomous and happy to work in a team
  • Versatile and flexible

Conditions offered

  • Hourly salaried position, 21h00/week
  • Flexible schedule However, a presence is required on Saturdays at the rehearsal site during the season, and during the performances of the different ensembles (weekends)
